HARMONY MUSIC SCHOOL STUDENT POLICIES



Tuition and Registration


There is a one time school registration fee of $35 for the first student and $20 for each additional family member. 


Private lessons: Students may register for classes at any time. If a student begins lessons in the middle of the month tuition will be prorated for the number of lessons remaining before the beginning of the first full month. The first payment will be charged 3 days before the first lesson. All further  payments are due on the 1st day of each month for the amount of lessons in that month. Tuition is not prorated due to anticipated missed classes or sicknesses, tuition is due in full (for vacations please see Vacation policy below).


Group lessons: Music for Little Mozarts program is semester-based and will run from January to May, and from August to December. Once enrolled in a course, students have a financial commitment to finish the course; no credits or make up lessons will be offered for missed lessons.


Other group activities & programs: please inquire about course length and other details; once enrolled in a course, students have a commitment to finish the course (normally 1 semester long).

Tuition and registration fees are non-refundable and non-transferable.


Payment forms


We currently accept online credit card payments and online bank transfer payments on our student portal.

Online credit card payments are subject to 3.2% convenience fees charged by payment processing company, Stripe. Online bank transfer payments fees are covered by the school and are free.

To pay online please log in to your student portal account or pay directly from your invoice by clicking on Pay Online button.


To set up online bank transfer payments from your student portal Home page go to Settings in the top right corner --> My Preferences 

On your Profile page under 'Stored Payment Options' click on Add Bank and follow the instructions. 

You need to verify your account in order to set up the payments. There are 2 verification deposit boxes in which you need to enter 2 micro deposits (less $1 each) that will be deposited to your bank account by Stripe, the payment processing company. You will find the amounts on your bank account page. Enter them into those respective boxes in your bank account info page on the student portal. After your account gets verified, you will either pay by clicking Pay Online on the invoice every month, or set up automatic payments, and the system will charge automatically when the invoice goes out.

Once your bank account information is verified (usually takes 1-2 days) the bank transfer option will be available for your online payments. 

Please note the school does not have access to your bank account information (or credit card information if you have been using this option) - all information is stored at a third party company, Stripe, that processes online payments. 


Late Fees, Declined Payment Fee, and Delinquent Accounts


Late payment fee is $30 per student. If tuition payment is not received on the 1st day of the month it is considered late and the fee will automatically be applied, no exceptions. It is parents’/adult students’ responsibility to ensure their tuition has been received on time.

There is a $30 fee for any returned checks, in addition to any additional bank charges we incur.

Harmony Music School reserves the right to suspend or discontinue instruction of any student who is delinquent in fulfilling their financial obligations at any time.


Dismissal


Harmony Music School reserves the right to dismiss any student due to frequent absences, excessive no shows, disciplinary problems, overdue tuition payments and/or parental noncompliance with Harmony Music School policies.


Insufficient Class Enrollment/Cancellation


If any class has insufficient enrollment Harmony Music School reserves the right to cancel the course or to offer the class with an adjusted tuition rate, length and/or number of class meetings.


Tardy Arrival


Students arriving late will not have their lesson time extended. Students arriving late by more than half of their lesson period will be considered absent, and their instructor will be dismissed.


Cancellation Policy - Student Absence and Make-Up Lessons


In order to be considered for a courtesy make-up lesson, a student must cancel the lesson on their student portal calendar at least 24-hours in advance if a known absence is coming. Make up lessons can happen either before or after the original canceled lesson date based on teacher availability. If the student is outside the 24h cancellation window, no courtesy make-up lesson will be offered. Harmony Music School reserves the right to provide a substitute teacher for the make up lesson if a mutually convenient time for the student and their original teacher cannot be agreed upon. Maximum amount of make up lessons per student per calendar year is 6 including vacations up to 2 weeks per calendar year that students must make up (please see Vacation Policy). Ideally students will have no more than 2 make up lessons per each semester, winter and spring, and 2 make up lessons during summer months. Make up lessons will expire 6 months/180 days from cancellation date. Once a make up lessons has been scheduled, it is final and cannot be canceled and rescheduled again - in other words, there are no make up lessons for scheduled make up lessons. If a make up lesson is canceled by the student/parent, that make up credit is lost.


Make up lessons are not offered for missed Music for Little Mozart classes, group lessons, workshops, or other group activities organized by the school.


No Shows


No shows are not eligible for make up lessons. Students can have no more than 5 no shows in each calendar year; 3 consecutive no shows will result in lessons termination.


Vacation Policy


2-week notifications are required for all vacations/breaks.

1-2 week vacations - students must schedule make up lessons, and tuition is due in full - the school will hold the spot

3+ week vacations - students are not required to schedule make ups, and tuition will not be charged; the school will not hold the spot in the program, and they will be offered new availability upon their return. Students will be required to re-register if absent from the program for 18+ months (registration fees apply, see above).


Student Illness


No students should attend lessons when sick (i.e. fever, nausea, vomiting, etc.).  Harmony Music School teachers reserve the right to dismiss a student from a scheduled lesson if the student arrives at that lesson exhibiting possible symptoms of illness.  In this case, a makeup lesson will not be offered.


Switching teachers/time slots


Students are allowed to switch to a different teacher in the same instrument only 1 time per calendar year based on teacher availability. Students are allowed to change their time slot with their original teacher 2 times per year based on slot availability.


Withdrawal Policy


A 30 days notice is required to discontinue lessons. Verbal notices and/or non-attendance do not constitute withdrawal from lessons. 

If students wish to re-enroll, registration fee will be applied if they have been absent from the program for 18+ months.


Teacher Absence


In the event of a teacher absence, the school reserves the right to provide a qualified substitute or schedule a timely make-up session for lessons missed. The school reserves the right to replace current teacher with a new qualified teacher. If there are no substitute teachers available, the student will receive credit for the missed lesson reflected on the  next month’s invoice.


Holidays


Please check our student portal for holiday closures available under Studio News. Students will not be charged for lessons canceled because of holiday closures.


Student Drop-off & Safety


When bringing your child to music lessons, make sure your child makes it to their lesson and the teacher is present. Do not drop your child off at the curbside or leave them unattended in the waiting room. Neither Harmony Music School nor its teachers are responsible for unattended students.


To ensure your student’s safety, children will not be allowed to wait in the reception area unattended.  It is expected that everyone wait quietly as to not disturb ongoing lessons. Please pick your student up promptly after their lesson. Harmony Music School teachers and staff do not supervise children waiting in the reception area before and/or after lessons. No food, drink (except water), or disruptive behavior is permitted.  


Release


Any photographs, audio or videos of students or families on Harmony Music School facilities and/or events may be used in promotional publications, website or press releases. There will be no compensation for the release.


Non-Discrimination Policies


Harmony Music School complies with all laws prohibiting discrimination in the conduct of its operations and programs. Harmony Music School admits students of any religion, gender, race, color, sexual orientation, national and ethnic origin to all rights, privileges, programs and activities generally accorded or made available to students at the school. It 

does not discriminate on the basis of religion, race, color, sexual orientation, national and ethnic origin in the administration of its educational policies or programs.


Policy Changes


Harmony Music School reserves the right to change policies, fees, or waivers at any time.
